Title: Senior Administrative Secretary Reports To: VP/AVP Cancer InstituteDepartment: Cancer Institute, Dyson Cancer Center Summary: Provides administrative support to the Associate Physician Director (Director), Cancer Services and the departmental members for the Nuvance West oncology medical staff in an efficient manner to support the physicians in quality patient care. Responsible for the coordination of support systems for department members to provide quality, cost effective clerical and administrative support. Essential Responsibilities - Maintains calendar and advised of changes or conflicts in schedule on a daily basis, including clinic schedules. Schedules and coordinates meetings with Administration, Leadership, Managers, staff and external parties/vendors. Obtains conference room, IT support and refreshments as necessary. Establishes and maintains highly confidential files for the Director and department staff. Plans and facilitates arrangements to attend conferences and meetings including travel plans and reimbursements. - Assists Director in preparing presentational materials for the organization, Directors and Board Level committee projects. Monitors projects, takes minutes and follows up on projects assigned to the Cancer Director. Responsible for special projects and work as assigned to manage activities related to Board level meetings, retreats, preparation and presentation and coordination of off-site meetings as it relates to the department or the Institution. - Responsible for collaborating with Practice Managers and insuring physician coverage of the cancer departments 7 days a week, 24 hours a day by collating the on-call schedule for the Director. Work with Practice Mangers to identify problems, issues related to scheduling conflict sin a proactive manner, and inform Director and coordinate resolution. - Produces Director's time studies and submits on a timely basis to insure compliance of Medicare regulations. Manages expenses for all Nuvance West physicians, including professional dues, business travel, meetings, CME expenses, book, license expenses, etc. - Submits appropriate legal contracts and documents as directed by the Director or VP/AVP of the Cancer Institute. - Schedules and arranges physician practice meetings for all oncology physicians to keep team notified of any changes in policy, procedures or regulations. Works with executive level assistants throughout the system to arrange/plan for integration meetings between regions. - Participates in meetings as required. Accurately takes and transcribes minutes of meetings as necessary. Assists Division physician leads in obtaining/maintaining medical staff privileges for all cancer physicians and APPs. Maintains all documentation necessary for annual reappointment and coordinates reappointments with the Medical Staff. - Assists with department recruiting efforts including schedule interviews, prepares new hire paperwork, obtains ITG sign-ons and privileges, Medicare credentials, and prepares probation packets. Achieves and exemplifies the organization's established expectations with regard to quality service, team work and self-development. - Fulfills all compliance responsibilities related to the position. - Performs other duties as assigned and required. - Maintain and Model Nuvance Health Values. - Demonstrates regular, reliable and predictable attendance. Education and Experience Requirements: This position requires a minimum formal education of an Associate's Degree and a minimum of five years job-related experience. Minimum Knowledge, Skills and Abilities Requirements: - MS Word especially Excel and Powerpoint. - Impeccable organizational skills - Excellent communication skills
