Job Description:
Position Summary: This position is responsible for booking
corporate and social catering functions such as meetings, small
parties, and other events. This position is also expected to
provide overall support for the Catering Sales team. Essential
Duties and Responsibilities:
- Booking, selling, planning, and coordinating social and
corporate events while assuring the highest level of customer
service.
- Develop existing business and solicit new catering business
through lead generation and marketing.
- Research and identify new business opportunities for the hotel
including staying abreast of local events through solicitation and
prospecting via phone, email, and outside sales calls.
- Aggressively engage in creative networking, uncovering and cold
calling prospective clients, to generate activity for future
business.
- Generating revenue, establishing new accounts, monitoring
space, booking repeat business, while maintaining consistent
high-quality results.
- Listen to customer needs, work with the Assistant General
Manager and/or Director of Sales and Marketing to analyze the
information and create proposals. Negotiate and close sales while
meeting / exceeding sales goals.
- Use effective sales strategies to counter the competition.
- Develop valuable business relationships that result in sales
and new customers.
- Represent the company at local & trade association meetings to
promote the hotel.
- Assist with on-site bridal shows and attend off-site bridal &
social events.
- Ability to learn and execute contracts, Banquet Event Orders
("BEO's") and prepare invoices for daily events, ensure timeliness
of payments and deposits, menu planning, floor plans & diagrams,
rental orders, d--cor, cost and billing details and any other
requirements pertinent to the event or meeting.
- Maintain sales files, information, correspondence, and office
supplies/collateral.
- Address inquiries in a timely and professional manner to turn
inquiries into bookings.
- Perform site tours for potential new clients.
- Work with on-site contacts for in-house events in a sales
support role.
- Work with the sales team to identify VIP guests and assist in
making their stay exceptional.
- Interact effectively with all departments within the hotel to
ensure guest satisfaction and a positive work environment.
Knowledge, Skills, and Abilities:
- High School Diploma required. Bachelors' degree preferred.
- Minimum three (3) years of hotel, food & beverage management,
or sales experience.
- Familiarity of hotel amenities & services, and ability to
provide property tours to prospective guests and clients.
- Exceptional knowledge of food and beverage menus, pricing, food
preparation and presentation.
- Excellent time management, organizational skills, verbal, and
written communication skills.
- Exceptional follow-through and management of details.
- Ability to present in a professional manner to hotel
colleagues, outside vendors and in the community representing the
Ethan Allen Hotel.
- Work well with other hotel departments to ensure the best
customer experience possible.
- Ability to learn how to generate BEO's, proposals and
contracts.
- Basic knowledge of sales techniques, negotiations, qualifying
needs, overcoming objections, and closing sales.
- Understand how to probe clients for potential new
business.
- Ability to learn how to book business with the greatest profit
percentage for the hotel while meeting client needs.
- Knowledge of sales techniques, including probing, supporting,
and closing.
- Ability to act and perform job functions in a positive and
independent manner requiring minimal supervision.
- Computer proficiency required on Microsoft applications
including Outlook email, Microsoft Word, and Excel, Publisher, and
PowerPoint.
- Proficiency with Hotel's PMS system or ability to learn.
- Ability to learn to merge documents for contracts, proposals,
and banquet event orders.
